Recently got my first head coaching job. Quickly learning that there is a lot more that goes into being a good head coach than just x's and o's. Does anyone have a yearly checklist of things that you do at different times throughout the year. One of the main things that is stressing me out is that I don't know everything that a head coach has to do and when to do it. Don't want to find out that I should have done something 2 weeks ago, but didn't.
I know every situation is different, but I figured there are some basic operational things that all programs have to do. Any help anyone can give me would be greatly appreciated.

Have helmets been reconditioned? What is your budget and have you put in your budget PO stuff to the principal? Have you set up your summer calendar, camps, lifting, etc? Do you have adequate shoulder pads, jerseys, practice gear, etc? I would imagine if that is taken care of, you're set for summer up to two a days.
Welcome to being a HC. Being a good one has very little whatsoever to do with Xs and Os. In fact, you can be a great HC and be an idiot on a white board. Being a good HC is more about having a vision and being able to get people to follow you to it IMO.

Jan 3- Off season strength and conditioning begins. Take attendance and record training weights and plan testing every 6 weeks. Daily communication with parents/athletes on progress and attendance. We use locker room bulletin board and facebook pages to communicate everything. We use school announcements and texts and emails as well.
Feb - Coaches meeting- we discuss attendance, recruiting new athletes from within the school, discuss personnel and discuss clinic to attend as individuals or staff. We all study videos in Feb and March. I hire new coaches in Feb/March when I can.
March- winter football interest meeting- get all of the kids cells/contact info and reenergize the program with distribution of tee shirts for those who have been attending off season workouts through Jan and Feb. "March Madness"- put the kids into teams and do one month of team oriented competition in the weight room and gym.
Winter Fundraiser- pasta diner and silent auction
* College Coaches visit the school and I communicate the visits so our athletes can hear what they have to say. This goes on all year it seems.
April- Continue to train and communicate progress. April Coaching meeting to discuss attendance, coaching development, all schemes should be settled upon by now and all coaches should be studying new system or changes to the old one. New staff should be trained or in training. Communicate with AD for gym/field space needs through summer and into season. Communicate with maintenance on any dates where school is closed down for cleaning/repairs/painting. Communicate with maintenance for spring football field lining/summer football field care.
May- letter to incoming freshmen laying out summer schedule and start of football etc. May or June- whenever spring sports end- spring team meeting for the same reason- hand out summer calendars practice schedules, scrimmage schedules. Plan summer fundraiser and communicate that with the kids. Formal communication with other coaches/Ads regarding pre season scrimmages and jamborees.
June- all sports fundraiser- help out and let football team be well represented at Golf tournament. Youth football clinic/youth coaches clinic
July- 7 on 7s, college camps, equipment inventory and prep for Aug. Continue speed and conditioning/weights.
Aug- Summer pre season fundraiser (lift-a-thon) / rules meeting/first aid cpr and concussion courses/schools all sports meeting/football team parents night and back to school nights (Aug is rough!!!!) Team picnic- two a days and so on.
Awards ceremony for off season conditioning
Sep- Nov season.
End of Nov- equipment is sent out for reconditioning Dec- Banquet and awards/ all conference/ all league dinners and meetings
Rinse and repeat
That's about what we do- something else, something new always comes up but for the most part it looks something like that.

not the HC, but I have been the assistant HC and main on campus guy... so i handle most of the day to day operations stuff
season ends in mid-late november ish (depending on playoffs)
gear collection is the most important thing once the season ends... collecting all the gear, inventory of it all, writing bills for kids who fail to turn in or lose equipment... this all has to happen prior to when you go on christmas break or you'll never get it back... ideally you get all of this knocked down within 2 weeks of the season ending though.
I have found the best way to do this is to collect equipment the night of your last game... it sucks, you likely just lost, kids are crying, its all over blah blah blah... but you have the entire team all there at the school
shortly after season you'll likely have end of season awards/banquet... ours is in january every year. Our all league meeting is the week after our last regular season game...
-Reconditioning usually gets sent away in January or february and is returned in april or may... im sure this varies but you gotta get it done
-Scheduling - i try to have all of our non league games scheduled for the next season by christmas... I don't always get it done but I try... the longer you wait the harder it is to fill games with teams you want to play. Shortly after finishing the game schedule I will find our pre season scrimmage (the week before our first game)
Through winter and the first part of spring it is just running our off season lifting, emailing recruiters, and meeting the ones who come visit face to face
Spring Ball for us is mid to late may, we get 10 days we usually begin meeting as a staff in late march or early april... review playbooks, meet any new coaches... go over any new/changed responsibilities if any. Any changes we want to make generally get discussed in these pre spring ball meetings
in the spring we line up any 7on7 tourneys or passing leagues we want to participate in, and make a summer calendar
We plan a camp ( i run my own every year in July) so that is always getting worked on but next years rule changes will probably stop it
Fundraising is a major thing, we dont have a booster club anything we do is on our own We have several fundraising efforts throughout the year ... for us it looks like this Early december crab feed - pretty easy for us, we have a local business owner who runs it for us, it is a tradition so it sells out every year, a consistent money maker that we really just have to work and get/sell raffle prizes and tickets for (profit 6-10k depending on the year)
may we sell BBQ sandwiches at an art festival we have here at school every year (profit around 1k)
we do a liftathon every year at the conclusion of spring ball (somewhere between 5-7k a year)
we do 3 car washes in the summer ( this money goes towards player's transportation fees)
we usually do some sort of sale over the summer, gold cards or something like that - a couple thousand
fundraising is probably the hardest/biggest hassle of everything... especially because our community is pretty poor
we've talked in the past about doing a golf tourney, that might happen this year
other items - paperwork... we have to have permits for everything... practice fields, games, getting fields lined, using anything

Much like coachbud, i am not the head coach but have worked close to one and learned a lot from him to know that there is way too much that needs to be done.
Share the wealth, have some of your assistants handle certain things. For example, I am in charge of all strength and conditioning along with my O-Line duties. Our DC, is responsible for all orders and equipment. Our OC is in charge of all basic paperwork (transcripts, recruiting, attendance, etc).
Like I said, I have learned enough to know that being a HC is difficult to do alone. Plus delegating some of these duties to your assistants will allow them to get an idea of what it s like to be a HC, this way they dont take a HC job without any experience as to what to do.
Congrats one becoming a HC.
