Searched and couldn't find anything on this, so here goes:
So I'm currently our Track HC, JV FB HC, would like to be FB HC one day in the future. I need help staying organized and on top of the details, it's a longtime weakness of mine.
What systems do you have for staying organized?
Do you keep a planner?
How do you make sure that details don't fall through the cracks?
I'm great at big picture stuff and I'm pretty mindful of a majority of the things that matter, but there's plenty of room for growth here.

Some folks use their fons as planners... I personally like the old hard copy. Also, do a end of the day run thru and plan thru for the next day every night before you go to bed.

I have used many different planners over the years. I finally developed my own and I think it is better than anything on the market. See the link below. The two photos are my own planner, both a monthly and weekly shot. There is more to it but that gives you a good idea. I also included in the link two checklists I developed when I was aspiring HC and used as a HC. I also dropped in another folder full of planning sheets I found this year that I thought were great and have considered using along with my planner. Have a plan for EVERYTHING, & we always keep a year around calendar ("checklist" on paper)! PM if you wish details!

I use an excel calendar and print a hard copy to give out to everyone in January. Try to stick to it as much as possible. If you plan everything out that far ahead of time it's easier to stick to it

If you plan everything out that far ahead of time it's easier to stick to it I use Google Calendar and share it with everyone - kids, coaches, parents, admins, AD, EVERYONE - also, it is on our website... I have all 9 years on there - allows me to look back at what we did last year and the years before My rule is to have all of the next year on that calendar by January 1 I do not want to print a calendar for a couple of reasons: 1 - don't need too - everything can be done digitally so there is no excuse as they can ALWAYS access it 2 - allows for flexibility when stuff hits the fan I am also a checklist guy and would recommend you record what you do each month so you can repeat it the next year January: Player Meeting Order Uniforms Reserve Spring Practice Field Usage Finalize Game Schedule Reserve Fall field usage Coach meeting... etc. I would also make sure your digital files are kept orderly - whether on hard drive or cloud. I prefer to organize my documents by Season for all on field football info - roll sheets, game plans, etc. Right now everything from January through May is in my "2018 Spring" file on my flash driveEventually I will have a 2018 Summer and then a 2018 Fall I can then compare to see what I did in past seasons If it administrative work it gets its own specific file (Player Meeting) For all documents I use naming patterns to title them (2018 January Player Meeting) I use a portable flash drive still - guarantees I can do work anytime and anywhere, whether internet is good or bad. Also helps since I prefer to use Word and Excel. Just make sure to back it up on a hard drive or cloud every few weeks...

I have a few things to help keep me organized:
1. A written planner where I write down things that need to be handled day to day as well as keeping a weekly and monthly schedule. I jot things down every day that need to be taken care of and just cross them off as I go along. This is with me at all times, along with a pencil so I can make sure things are written out. There's a little note section in the back where I take down notes as well. Important phone numbers are written down in there as well as plugged into my phone.
2. An Google Calendar that includes the same stuff. It may seem redundant, but I copy everything from the written planner into the calendar just to make sure I don't miss something. And, it works the other way as well; I put things in the calendar and then write them down in the planner. I might be working in my classroom, an email pops up about something and it's quicker for me to pull up that calendar and write it in. The calendar also allows me to easily type in notes for things.
3. A separate three ring binder for EVERYTHING: practice plans, inventory, playbook and depth chart, physicals, player/parent contracts, assistant coach contracts, etc..etc.. These are tucked away in a file cabinet and I never lose them.
I have always struggled to stay organized throughout a year and I've become pretty Type-A about these kind of things. Also, keeping two the two calendars/planners gives me a backup in case something goofy is going on with the internet or with my phone.

I do keep a google calendar, more for the kids and my other coaches.
All schedules for practice are in google sheets, just add another page. With a checklist on first page of everything that needs to be installed, and after installed it is dated on front sheet.

Having a checklist for the entire year is a big first step. I include on it purchase orders to open, fundraisers to document, scheduling opponents, scheduling 7v7, scheduling staff meetings etc.
But one thing that has really helped me, is whatever Cloud file organizaton you use- Dropbox, Google, etc- I setup a folder for each month of the year. That way every document or spreadsheet I create, I save in that month's folder. Then as time passes I can look back and easily find what I did "last year" in the same situation. Things like post-season banquet agendas, or all-league nomination forms, etc.
Then once a year (I do it in January) you can use the files in each folder to update your annual checklist.

Not a HC or anything but I've started using Google Keep as a reminder/checklist and it is awesome!
