Would anyone coaching small school ball (we play 8 man ball total student head count is 300 - 400) be willing to share budgets for their football program in the last year or two?
I've been an assistant coach for the last three years at a small charter school and as of a couple of weeks ago I am the new head coach for the program. I am in the process of putting together a budget for the team for the next year (based in part on previous year's spend) and I know that increases are going to be popular. On the other hand - we have be on a shoestring budget for years and are in the process of migrating out of the charter specific sanctioning body into the primary sanctioning body for the interscholastic athletics in the state - and there may be some opportunity to grow the program.
This obviously can be sent generic - I don't need to know what school you are from - but the following would be very valuable to me if you are a school of 500 students or less playing competitive tackle football.
1) Total football related budget for the year 2) Number of coaches for varsity 3) Number of coaches for JV (if you have a JV program) 4) Total coaching stipends for varsity... jv.... 5) Do you have a paid certified athletic trainer at practices? Cost for this? 6) Do you have a weight room? Budget/spend for this? 7) Total number of players 8) Player equipment repair / purchase budget? (refurb helmets, uniforms, etc) 9) Other equipment -sleds, speed training gear, etc.. 10) Field budget (we do not have a field on site - we rent space at a local park and there is consternation about the cost here) 11) Budget for consumables (tape, gatoraid, etc...) 12) Transportation budget for road games? 13) Game related costs - Paramedic/Ambulance service, Security, etc... 14) Hudl or other film management solution? 15) What have I missed?
For the last couple of years the head coach and I have funded some of these things (we've bought speed training gear, extra balls, I built a tackling sled and bought a spring and pad, etc...). We'll probably continue to do some of this - but I would both like to know myself, and give our AD some perspective on what similar schools are investing in their football programs.
If you want to mail a document to me please PM me and I'll get you an e-mail address.
Thanks a ton...

School of 180
1) Budget consist of field paint for every season. That's it. 2)3 coaches for varsity 3)same 3 coaches for jv (cancelled our 4 games this year due to numbers) started w/ 18 finished with 12 4)HC and 1 asst gets $500 each (im volunteer) 5)No trainer at practice. area trainer comes tuesday afternoons 6)If you call it that. yes. Hasn't been updated in 10+ years. 7)every year is 15-18 kids ... our 7th/8th grade team this year only had 6 guys so idk what the future holds 8) refurb helmets every other year? or every year unsure on that... New jerseys every 8 years. 9)one home made sled a teacher/welder built. can't hit it cus it doesnt have springs. can line up and drive it though for conditioning. about 3 stand up dummies and 3 hand held dummies. 10)have our own field. we paint ourselves. mow ourselves. etc. 11)HC buys a box of tape and pre wrap every year. no gatorade etc. just water. 12) 1 yellow bus (not involved with the set up of that) 13) volunteer paramedic/firefighters attend game for free. no other "services" from anyone like security. 14) we do have hudl. Superintendent was new this last fall and offered to budget into school costs for that.
I more or less filled this out to see what poor shape we were in haha.. sounds like you'll be a little better off than us. This makes it tough but at the end of the day.... We play football on friday nights. and to be honest I dont have a clue how many more years we will be able to do that with our JH numbers.

Let me preface that our athletic dept takes 100% of the gate, boosters takes 100% of the concession.
1) Hard to say. We probably spend $2500 not counting refs. 2) 5 3) N/A 4) 4 5) Yes. Cost is through athletic dept 6) Yes. $0.00. We do football-only fundraisers for this that I personally set up. (OurFund, spirit nights at restaurants) 7) 25-35 8) Athletic dept pays on a need only basis. We buy needs, not wants... so our athletic dept and boosters don't have a budget per say, but I have never been turned down for something. Then again I'm smart enough to ask for new away pants one year, then jerseys the next, then home pants, then home jerseys... we don't buy a huge amount in one swoop! 9) We don't get these things. 10) City pays for it. 11) Parent donation. 12) Athletic Dept. 13) City/School covers cost of cops. 14) Hudl = principal, it's part of our college and career budget since it's used for recruiting. Nice, right?

We are a HS of 300 students. 1)Total football related budget for the year $12000 2) Number of coaches for varsity 1 Paid, 4 volunteer 3) Number of coaches for JV (if you have a JV program) 2 Paid JV Coaches and 1 Paid Freshman Coach 4) Total coaching stipends for varsity... jv.... 4 for HS 5) Do you have a paid certified athletic trainer at practices? Cost for this? No 6) Do you have a weight room? Budget/spend for this? Yes, School runs it as community fitness center. 7) Total number of players About 50 per year 8) Player equipment repair / purchase budget? (refurb helmets, uniforms, etc) We refurbish helmets every year and usually try to buy 6 new helmets and 8 new sets of shoulderpads. Uniforms every 5 years. 9) Other equipment -sleds, speed training gear, etc.. Tough to get through budget, usually have to have booster club buy it. 10) Field budget (we do not have a field on site - we rent space at a local park and there is consternation about the cost here) We also rent a local park. We have to pay for all maintenance costs and to run the lights. 11) Budget for consumables (tape, gatoraid, etc...) Usually go through about 14 cases of tape a year, Gatorade I buy out of my pocket. 12) Transportation budget for road games? We take two buses 13) Game related costs - Paramedic/Ambulance service, Security, etc... Ambulance service is donated by local ambulance company. Security is not part of football budget. 14) Hudl or other film management solution? Hudl is paid for by our all sport booster club 15) What have I missed?
All of the things you mentioned are included in our $12000 except for workers. When I budget for helmet refurbishing, new helmets, shoulder pads, tape and other misc supplies, it takes up the majority of that amount. I spend too much every year out of my personal pocket. I don't think it is too much but my wife does.

I spend too much every year out of my personal pocket. I don't think it is too much but my wife does. Thanks coach - I'm with you on this. Last year's major out of pocket expenses (personal) included a spring an bag for a tackling sled (fabricated the base), Gatorade, tape, first aid supplies, blah, blah, blah... Definitely a labor of love and I don't expect that to change... but on the other hand I'm trying to make the case for the school picking up the predictable stuff. They won't let us have a sport specific booster club - any funds raised have to go to athletics in general. It sounds like they will allow in-kind donations of football specific stuff however - so "Parents - we don't need money - but we do need an enclosed trailer to haul our gear to and from the park where we practice..." :-)

Thanks very much for the responses so far. I'm compiling averages to review with my AD shortly. The more data-points the better.

Enrollment 400 9-12. Zero football budget. We buy everything from money earned from the gate and any fundraisers we do. There are 3 stipends including head coach. We have one volunteer coach. Booster club pays for meals for after away games and our awards given out at our banquet. We are equiped to outfit 40-45 players however, this season we might possibly have 60 on the roster. So needless to say, I am stressing about how to pay for the extra jerseys, helmets, etc.

coach if you can give me an email I can send you my excel spreadsheets for the past two seasons. It details everything. We have a 7,000 operational budget and whatever fundraising we do. School covers a lot of these costs separate from our operational account. We are a small school in NM with 230 kids 9-12
