Coaches,
I'm interested in creating a bank account for the cash and checks that are given to me for team camps, 7 on 7, etc. In the past 2 years that I have been the HC, we had the checks made out to the booster club who would then either give me the check or pay the bill. I didn't like the idea of having checks made out directly to me. I'm not looking to make money (trust me, I've lost more money than I have made in coaching) but this will give me a better way to know what money I have available for the program. In HS, I remember making checks out to "Spartan Football" as opposed to the HC. Does anyone else have a bank account set up or am I making this a bigger issue than what it really is?

I tried having an account of that nature and our state hit me with income tax on the amount deposited. I did not register as a non-profit. I have found that having the booster club control the account but having separate ledger entries has been easy, I get on-line access and a credit card as well as 2 checks per month.

Our district would tell us not to do this and we'd probably get fired
Our money goes through "student accounts" and we have a treasurer who controls the accounts
Myself and the HC are the only ones who are supposed to actually get into our account to make purchases
She's great about getting checks cut and depositing what we get her
It's much easier to do it this way and have no chance for "money to come up missing " or for someone to say it might
There was a local coach in the Bay Area who got let go, had charges against him, big mess, it was alleged he took fundraising money I believe he was innocent and he eventually got it all worked out but he's no longer coaching there and I feel bad because I feel his name took an unnecessary hit
Your school doesn't have accounts for each sport ?

When I receive checks that should be made out to boosters, I just put "Pay to the order of XXXXX Boosters" on the back. They can then receive the check as if it were written to them. Google COSIGN A CHECK if you need more info... No need to open a different account- actually I would highly recommend you DON'T do this.

As an AD I will tell you do not put it in your name. All of the above reasons are good examples why. The NFHS sends out a notice every so often reminding schools to not allow coaches to do that. I wish our school would run ours but they will not. I have ours set up through our general booster club.

We have a parent club called SWAT Supporting Waverly Athletic Teams and they are one of fundraiser and feed the team club not the regular Athletic Boosters. It can work but Teachers have to be very careful, any co-mingling of funds is considered unethical and can cost you your credentials! education.ohio.gov/getattachment/Topics/Teaching/Educator-Conduct/Licensure-Code-of-Professional-Conduct-for-Ohio-Ed/Licensure-COPC-for-Ohio-Educators_color.pdf.aspxb) Accepting gifts from vendors or potential vendors for personal use or gain exceeding $25.00 in value. c) Tutoring students in one’s district for profit without notifying the superintendent or designee and/or not in accordance with local board policy. d) Coaching and/or promoting athletic or artistic camps, off-season leagues, etc. in one’s district for profit without notifying the superintendent or designee and/or not in accordance with local board policy. e) Failing to account for funds related to school activities collected from students, parents, family members, community members, staff or peers in accordance with local board policy. f) Co-mingling public or school-related funds with personal funds or checking accounts. g) Submitting fraudulent requests for reimbursement of expenses. The disciplinary actions for violations of Principle 7 can be found on Page 9.

I would have never thought about this. Would never have occurred to me this could be a problem. From what I've seen mishandling funds, or the appearance of mishandling funds, is the #3 cause of HS coaches getting fired, behind losing and chasing cheerleaders.

At my school, the school's finance office handles everything from the school money to the athletic money. They handle it all. If we need to order something, the HC orders it and sends the invoice to the finance office who has somebody specifically pay the bill.
If it's money from kids for like spirit pack or whatever, they write the check out to the school and write in the memo for whatever it is (most likely spirit pack in our case). They will give the checks to the HC who will then take all at one time to the finance office and say here is the money for football spirit packs.
