How do you make sure all of your coaches get your forms in and how do you keep them on file?

We have a clipboard with a checklist. 1st week of practice we take the forms and separate them so all the forms are in piles on the desk. When we have all the forms each pile gets a paperclip, all the stacks get binder clipped together, and they go into a folder that our HC has at every practice, scrimmage, game, etc.
Their physical form and their "pay to participate" form are turned into the office. Our AD lets us know who's missing what every day or 2.
Only dealing with 20 or so players, so it's not too much of hassle.

When I was an HC, I had a three ring binder with dividers in them for all of the paper work. The kids turned all of their information into me, I photocopied them, tossed the copies into the binder and handed the originals over to the AD. Each kid had all of their information stapled together in said binder. I kept a check list on me and marked them off and I also transferred that information into a spread sheet..
Our AD had a bad habit of losing stuff and blaming the coaches for it so I kept back-ups of everything. One day, he hauled me into his office whipped out a stack of papers and tried tell me six of our kids were missing they're paper work. I pulled out the binder, showed him the copies and walked away. Three weeks later, we had a kid hit the deck with an asthma attack and the AD told me we were liable because I let him practice without a physical. I showed him the photocopy of the physical and pointed out that it said nothing about asthma.

Is the OP talking about coach's paperwork like CPR, Coaching cert., concussion class, etc or the paperwork the players need?
Either way u can use the same methods as people have stated. All the coaches should have their originals in a folder at home and the HC and AD should have copies on file.

Our district HR actually handles all of that
every bit of paperwork has to go through them and they tell the HC who has do
get certified, renew tb test, renew cpr... etc.

Our AD keeps a folder on each player in each sport. Folder follows him from year to year. Color coded by class. All the paper work goes there. We have a spread sheet where we have listed all of the gazillion forms our district requires and we check them off on the spread sheet.

OUR AD took care of all that for us..For all the bad things I might feel about him, it was the one great thing he actually did
