How many of you have off season coaches meeting? And how many do you have during the off season? Long story short I went from being the DC for one of our 95lb A team to being the OC for one of our 110lb A teams , and now my final resting place is HC for our 150lb team.
I have put together a new staff for this coming season and know that I need to have at least one meeting to make sure we are all on the same page.

we are starting our coaches meetings next month (april)
we will do 1 every month, or every other month depending on if there is an agenda.
I REFUSE TO HAVE "STANDING" MEETINGS, meaning i refuse to have a meeting just because it was on the calendar. we only have coaches meetings if someone has something to discuss in person.

well here is our first coaches meeting agenda. we have 2 new coaches and 3 of us who have coached together at different schools. I am the DC but i typically run the meetings, my head coach is a layed back kind of guy..i like order and structure so the agenda is set that way. 1) Introduce everyone 2) Discuss Expectations of a coach 3) Discuss Team Rules (adjust if needed) 4) Discuss practice Times 5) Discuss Roles and Responsibilities of each position coach for Practice 6) OC will Present the Offense 7) DC will Present the Defense 8) SC will Present the Special Teams Plan then its beer time

Thanks again coach for the break down. With this being a new staff I need to still give out responsibilities. I'm the HC and will be the DC also. But need to figure out who will be my OC and who will handle special teams.

I've always done my staff meetings about May, but that's if my season starts in August...now I do them in late April since my season starts up in July. I talk to other coaches, we talk about what schemes we would like to use, we talk about things we could do during the season for fundraisers, we talk about the school schedule and how we need to plan practice around it. Things of that nature.
In terms of having meetings weekly, we don't really do that until the season starts. Even then, it's only a small meeting for about 15-30 minutes. I've always done meetings mostly by phone conference, seems to be a bit easier on everyone including myself.
Now I will say this, if you do have to recruit some for a team or get a sponsor in place it doesn't hurt to talk regularly.

i like order and structure so the agenda is set that way. Amen to that, coach! I am a coach at the high school, but am on the board for our feeder program (in year 2). I had missed the first two meetings, and tonight was the first. What a cluster! Agenda is a must, and I will have to be the bad guy for a while until the group understands that we need order to be productive.

Buy a case of beer and get together just to talk about the game. You can find out who knows their stuff this way and reconvene after you decide where to fit everyone. In the past I have done this and could figure out pretty quickly who was a coach and who was a father that just wanted to help out. Finding key assistants at that level is always the hard part.

I am glad I could help. I started 20 plus years ago coaching. I started with 8-9 year olds. Was a head coach in five years. Use the case of beer technique to this day. When I was invited to the High School program it worked well for me. I was an unknown commodity. I was able to get my views across to the other coaches in a less formal setting. I was on Varsity before you knew it. Just remember to use your ears more than your mouth in the meeting. Sit back and listen. Good luck!
