I was told by our athletic director that I can only hold one off season meeting for organizational purposes.
I am totally ok with that as I am quite sure that follows our state mandates. Now, what would you do?
I am of course seeing the real football players just about every day, there are a few that avoid me and there are a few that say they are playing but the reality is they will never see the field based on the fact that the season has been over for three months and they have not set foot in our weight room. I do not need a meeting to to promote off season conditioning. I do this every day.
I have also passed out written expectations to the players so they know exactly what I expect.
I am planning to wait until after baseball season to hold our meeting. At that time I want to pass out a summer workout schedule etc.
Does that seem to make the most sense to you all? Any other ideas or suggestions are appreciated.

That way, you can get a schedule to the kids early; before families start planning vacations and stuff like that.

EMAIL....
I have a booster club and 95% of my parents are on email distribution. I send out emails probably once every few weeks with updates (Weight room, testing, 7on 7 , fundraisers, team camps...).
I would than have my big meeting the last week of school before summer workouts (Make sure they are on the same page).
I am a big believer in communicating. I would if I were you meet with your players at the end of workouts as much as possible and on individual basis to keep people update.
The email thing is huge. Really keeps parents updated.

Anyone ever get frustrated when basketball or hockey starts holding meetings just about the time you're finishing up the season or heading into playoffs?
As much as I want to meet with our kids in the spring to get them on the same page, I try to remember the frustration felt when other teams start our kids even thinking about another sport while in football. It's really not fair to the kids either.
We hold our meetings just about immediately after spring sports are finished. That said, we make sure that information about tournaments and lifting schedules are informally out there as soon as we know it.

I am careful not to bother kids during other seasons. I think that is how problems between coaches start. I have some basketball players who show up and lift and im thrilled but I dont harass them to do it for sure.
I am sending home a newsletter.
