Coaches,
How do you all monitor academics in your program? I am looking for a more effective way to keep up and monitor our kids.
Right now we have each position coach check grades every 2 weeks. If they are 70-78 grades they are marked yellow. They begin the tutoring process and we see why they have low grades. Is it missing assignments or just low grades.
69 or below they are marked red. Mandatory tutoring in the morning and mandatory homework session after practice for 30 mins.
I am looking to see if anyone has an excel sheet or document that better tracks kids.
Also what do you all do to monitor academics. Rewards and punishments. I hate punishing kids over grades unless it’s just being lazy. Bad test scores and quizzes don’t warrant punishment. To me they don’t get the material and thus more mandatory tutoring.

What grade program does your school use? I can just input and save a formula at the start of the year with all players listed. Then whenever i run the report it shows me any grade below whatever grade i determine. Takes less than a minute and not extra work for ACs

We let the kids monitor themselves. We do visit with faculty members about our kids - but informally...and we do provide assistance as needed if we become aware of an issue; however, the kids need to learn to take some responsibility and look after themselves. They need to learn that there are consequences. Coach ain't gonna be there when they "grow up."

Depending on what program you use, you should be able to create a report with either all their grades or just their lower grades. It only takes a few minutes to look. Most schools have policies where students can't participate if they have low grades, so that basically takes care of it.

Where we coach the school handles all that, with mandatory tutoring after school, suspension for so many failing grades etc and they send us a weekely report of kids who are struggling. Do you have a district policy for grades?

We have PowerSchool and last year for the first time, guidance entered our football roster as a class. The running of reports is something I don't think we can do, but all we have to do is click on the player's name in this class and it shows all of his grades.

I do regular progress reports, mail merge the player info with the text of the report. Give it to them on Monday, back on Thursday. Give it to the teacher at the start of class, teacher enters their grade and social evaluation. Works well. Problem is there are some teachers that won’t sign them. Including the AD, who says it is a waste of time. In reality the teachers don’t know what the grades are because they don’t enter them into the system until the last minute. So while I try, I seldom have a real clear picture of how the kids are doing. This next season I won’t have any coaches, including me, that are on staff, meaning that I won’t have access to reports or anything. It’s fun.

During the season, our guidance counselor is in charge of eligibility so she checks it weekly and lets us now about grades, during offseason I usually check a different grade a week, but teachers at my school are really good about letting me know about players who struggling or failing

The first thing we do every year is teach our kids how to get better grades. The system (Game of Grades) is quite simple, has been very effective and, we believe, is often the key item that most coaches, teachers, guidance folks and even parents forget to add to solve the issue that is grades and eligibility.
Better grades are not easy without a "system" and statements like "you have the ability", "work more", "study more", "try harder", "pay attention" usually fall on completely deaf ears of the unmotivated academic kids. Yelling, screaming and punishment don't work either if the kid does not have plan of action. Even our motivated and smart kids find ways to improve grades with less actual time and effort.
Game of Grades carries over to assist kids in college, grad school and beyond.

Because I am the ISS teacher, I have access to the grades of all students, so it's pretty easy to monitor. I have separate helmet award stickers the kids can earn for getting an "A" on a test or a quiz, positive emails from teachers, community service and perfect attendance. I also tell kids there are 3 secrets to passing any class; sit in the front, turn in all your homework, and don't be a pain in the... Never seen kid fail a class that did those 3 things.
