Not sure if this is the right place for this but I've come to the realization that I have a ridiculous amount of coaching notes. By that I mean notes from clinics, videos, emails, the internet etc. I'm looking for the best way to organize all of them because right now they are all kind of scattered. Some of them are on my hard drive, some on Google Drive, some on Dropbox, etc.
Does anyone have an organizational setup they really like? Thinking Google Drive would likely be the easiest but I don't know and wanted other's opinions. Even them what would be the best way to put them all in there, I'd have to have some sort of a folder system.

Since I work on, usually several computers, at the same time, all day long I consider writing by hand a welcome break. So I end up with notes all over the place. Clinics, videos, conversations, articles, whatever I can latch onto. Every so often I'll gather them and transcribe them into emails that I send to myself. That way I have them as text and can get rid of the paper. My nickname has been Tree Killer for a long, long time. My organizational structure, since I am a HC at a small school and don't have a lot of help, has been developed over time. Most of my files start with a number so that I can always figure out where something belongs. Once you get past coaching a single position you have to have some place to put things. Doesn't matter what the structure is, but there has to be a structure.
At the link below you can see a number of files that I will be updating soon. They are numbered so you can kind of see where they might go. There is an Apple application for Windows that lets it access iCloud like from a Mac. Notes that I have typed are in a folder on my desktop called Clinic Notes. I sort them by year.
Notes that are written are in a pile in my office at home, with the newest ones on top.
It's definitely not a great system because sometimes it takes a while to find what I need, but that's what I have at the moment.

I have a Google Doc labeled "2018 Clinic Notes." I have headings in it like Offense, Defense, ST, Practice Planning, Motivational, Technology, Equipment, etc. As I read something, or go to a clinic, or a spring practice; I add ideas to it with bullet points under each heading. Each December, I copy the Google Doc and title it with the new year. Its a great way to add ideas and not forget them; then usually before Spring ball and before Fall Camp I will go through the notes and find ways to incorporate the ideas that could make us better. Geez i was just thinking about this on the way home from the Newport clinic today....I like to hand write my notes but like you say they are all over the frickin place..If a student had my note organization plan I probably would call his parents...anyway I am thinking about scanning all of them with an app from my phone and putting them in google docs and somehow organizing them from there...this is nit something I am looking forward to I have (much to my wifes chagrin) tubs of notes and I threw away a bunch of stuff too

jgordon1 that's my issue as well. I currently have an entire chest full of stuff I've collected (playbooks, notes, etc) and we need to start making some more room so I'm thinking about what I could do to accomplish that. bluboy what app are you using to get quality scans? Some of the apps I've tried to use don't give you very good quality on a scan of paper. In the past I've always tried to retype my clinic notes from my chicken scratch on paper but I don't always have the time to do that (it takes a really long time to do it well when you start including diagrams). I'm thinking about getting a Rocketbook to try and alleviate that step.

Most of my scans are done at home with a desktop scanner. When I scan from my iphone, I use Scanner Pro from Readdle.Scanner Pro does a great job of converting scans to PDF; it has makes finding the edge of pages easy. I am not an "aficionado" of any apps, let alone scanner apps; but I like it. It does what I need in an easy fashion.

I save everything (or nearly everything) on Google Drive. If it is hand written notes I will scan them and save them to drive. I organize them into folders based on the year, clinic, topic and/or name of the coach.

Last year I started taking an iPad Pro to type notes on during clinics. I also have the Apple Pen to draw when necessary. I type my notes in Microsoft One Note and then upload them to Google Drive.
I separate folders based on Offense, Defense, Special Teams, Program and Athletic Development. Each of those folders might have more folders within it. Offense might have: QB, WR, OL, RB, RPOs, Spread, Power, Air Raid, Flexbone,etc. to further delineate.
From there, I will review the notes for that year and re-write them in a separate Google Doc to create an action plan on implementing any ideas I liked.

I read on here about Rocket Book. Bought a couple. I highly recommend them. Take your clinic notes in the rocket book, upload it to google drive (or wherever you want to put it). Label it whatever you want, put it in whatever folder you want---is going to make a big difference for me. I have tons of clinic notes that are in boxes. Everything I've taken this year is in google drive thanks to rocket book.

Would definitely recommend a Rocketbook for the future. So easy to set up and use. Take notes, upload instantly and erase. I also like it for doodling and sending things to coaches as it can be sent to multiple people via text as well.
As for past notes from before the Rocketbook I have scanned them within ScanPro. All are now in Drive which I can access from anywhere and are separated by year. I also have a “Thoughts for ___” doc that I’ve done the past four years that takes the little nuggets I get each year and want to incorporate the next season.

For you Rocketbook fans, what makes it a better product than just using a regular notepad and pen and then using a scanning app to upload to Google Drive?

But why is it better? When back-to-school sales occur in August, I can get 120 notebooks x 70 pages / notebook = 8400 pages for the roughly $30 a comparable-sized, 30-page Rocketbook costs. I don’t want to have to erase 30 pages with a wet cloth, 280 times over, in order to get the same use. The main convenience I see is checking the icon at the bottom of the Rocketbook page to automatically tell it what electronic file to send it to when scanned, which would save maybe three clicks on my phone using the Adobe Scan app. In my opinion, that is not worth it.

Taken me 20 years to figure out a system for me on this one... I like many have had notebooks all over my house with the best artwork I know how to do.....
This year when I go to a clinic or meet with other coaches I typically type notes into a word doc or email to myself I send it and then review a couple days later. In addition, I have a tab on my "notes" feature on my phone any note that I review and believe is something that we should consider to implement I place it on my phones "note" feature. That page of notes then I take to our next staff meeting for discussion.

Doc scanned all my old notes, they're on Google Drive Leuchtturm 1917 Notebook (dotted pages) for when I don't feel like electronic. iPad w/ Apple Pencil and GoodNotes5 for when electronic is what I want or I need to have pictures in my notes.
Not the cheapest or most efficient but works great for me. I don't do loose paper.

Thanks for tall the input guys. I did go out and buy a Rocketbook and I really like it. I get how you could do the same thing with a pad of paper and a phone scanner but for me the ease of not having 5-10 different notebooks either at school or home or remembering where that paper is something that will be useful I think. The paper is a little glossier and regular paper but you get use to it.
I've been in the process of trying to organize my Google Drive Account for football notes. Trying to organize 12 years of coaching notes and other files is a bit of pain though, lol. Trying to figure out the best folder setup to make things easy to find.

Instead of folders, consider using the metadata. Put in keywords and just leave all the notes loose, or broadly sorted by O/D/ST/team mgmt/whatever. Google’s search will find what you want pretty well just based off the content and the keywords it will be easier than trying to organize it like a traditional hierarchy.

I think scanning them into PDF and putting them into your google drive is best, especially if you ever want to share them with other coaches Everytime i take notes i either type them up on my ipad notes section and later send to my drive as a pdf or if it was something i would hand write i would use my rocketbook for the same thing

Agreed. How do you organize everything easily on Google Drive? I organize everything in folders on my laptop and then just upload the entire folder to Google Docs. The entire staff uses Google Docs so, when I find something interesting (playbook, drills, ect..), I download it into the file on my laptop, upload it to Google Docs and then share it with them. I didn't use Google Docs very often until I became an AD; then it became essential to keeping my sanity. Edit: I use Microsoft Office Lense to scan in documents on my phone. Works alright.

When i am at a clinic i prefer to take notes on my iPad because it looks much neater, i have bad writing. Rocketbook is more of a speed thing where i am trying to jot stuff quickly as far as organization goes i am big into Subsets of folders for example FOOTBALL -Clinics -Film Notes -Playbooks and then i would probably have subfolders inside of those for example when i go to a clinic, i put all the notes from that clinic inside a folder so mine looks like Clinics---> 2019 SF Glazier --> then all the notes from it
