How does your Sunday or Weekend Staff Meetings Go???
For us..
2pm - I am the HC (1st thing we do is injury report from ATC, I give out practice schedule for the week done mostly online but we discuss) 2:20 pm - Each staff member has to have a POTW nomination 4 clips on HUDL (that's my way of knowing they watch film, I may have them turn in grades this year but hasn't been an issue) then we vote as a staff
2:35 pm - STC goes over last week film and opponents, what he wants to do this week...
2:50 pm - Staff Prayer for Dinner
3:00 pm - Offensive & Defensive Staff Break For Game plan until...
I am the OC but we script Monday, Tuesday and Wednesday on offense, I go over to get the defensive game planning while the O guys are putting the finishing touches on the script, we are done around 7 - 7:30 ish.....

As a staff we haven't met the last two years.
I'm the OC and watch all the film on my own at home, running reports, making notes, etc. I'll type all of that up and send to HC. Generally we talk over the phone for about 1hr that night sometime but that's it. I handle all the scripts and such myself.
I know our defensive guys meet as a group (there are 3 of them, 2 O guys) early Sunday afternoon and do their thing.
This said we've basically been doing the same stuff for 6 years now.

Never met as a staff on Sunday, have met on Saturdays though. After films with the players breakdown upcoming opponent's film, then gameplan for next week's game (in regards to what we like and what we don't) usually doesnt take more than 2 hours all told for that- keep in mind this is as the defensive staff. Then draw up the scouting packet and scoot- better to get it done on Saturdays (why wait until Sunday when you can do it on Saturday).
I have been at too many meetings that are philosophical in nature and round about bull sessions- screw that. I have also been at meetings that turn into chalk wars, and a waste of time. Truth is, the two primary reasons why we meet at school is: A) we are already there to watch films with the kids, B) I can copy and print up using the school copier.

I'm an inefficient old school grinder. Myself and our HC and both pretty OCD about covering all our bases. I get up Saturday morning and break down Friday nights film. I put comments on hudl for the other coaches and kids to view and grade my position group (LB) Then I break down our opponents film. Usually 2-3 films.
Staff meeting is Sunday at 2. Staff comes in turns in their position grades and we go through film as I point out things they need to see and discuss anything that I was unsure about as I broke it down. We then put together gameplan. We go through formation by formation what our plan is. After we get done. The guys leave. I stay and discuss special teams with HC and draw up scout cards and scouting report.
Usually 4-6 hours on my own on Saturday. Staff is there from about 2 till 8 Sunday and then I am there another couple hours. I do the practice schedules and scripts for the day each day. I don't do them Ahead of time. I start putting them together in the morning before school and finalize them during planning period.

Typically we'll meet at 9.
We spend the first few minutes talking about college football from the day before. Just shooting the bull. Some other coaches show up later because of things like church. 9:30-12 is usually where we type up scripts for the week. Then we'll spend 45 or so eating lunch. Another coach's mom is Sicilian and she'll bring in some authentic cuisine it's excellent. From 1-4ish we'll go through each formation the opponent runs and come up with edit the call sheet based on their tendencies from each. Early in the season this can be a quick process, week 10 not so much. From there we finalize the scouting report and reconnect with the offensive staff. We'll leave around 6ish. But I'd be lying if I said there weren't nights we've left around 9 of later.
Honestly I think we could finish earlier if we applied ourselves. I'm just as guilty as anyone but I feel we spin our wheels a lot with horse play and chalk wars.

We meet at 5 PM on Sunday. We start out discussing things that may cause scheduling conflicts during the week then go to personnel:injuries, behavior, performance issues. Next we watch the game film as a staff (we do not platoon) and look at whether we need to make any personnel changes and scheme tweaks.
We'll then take a look at one of the opponents' tapes. Coordinators, who will come into the meeting with tentative game plans, will go over that game plan then we'll watch more of the opponents' film with an eye toward verifying the game plan. Then we're done usually by 8, no later than 9.
Coordinators go home and put finishing touches on the game plan. We give the players a paper game plan so the DC (me) will have the completed plan on the HC's desk by noon. The OC/HC and I will, on our own time, will finish practice schedules, scout cards, and scripts.

I'm the head and we never meet on weekends. As a result I've kept most of the staff for many years. Individual coaches may meet on their own. (not me) but we all do our planning to be ready for Monday.

We don't meet on Sunday's either. We meet for around 2 hours after we send the kids home on Saturday morning film. We all stay up late after kids go to bed Saturday and get a massive group text session going. Sometimes it turns into a Sh.. talking joke fest, but we all watch film on our own and it works.....keeps the wives happy (as they can be) too.

Last seasons job we met only as a staff- no kids- from 9-12 on Saturday mornings. Watch our game, watch the opponent's two films. Discuss game plan, do a little scouting, usually BS a lot. Nothing on Sunday outside of maybe a couple texts back and forth.
My new job I think I'm going to change it up a little. Just because they have brought kids in on Saturday mornings and have found it beneficial, I think we'll do that as well. I think it may look like this-
700- Stretch 710- Run- to loosen up, get rid of soreness, etc. 725- Varsity players go watch film- captains run film- no coaches present JV players have walk through for Monday game Players with injuries see trainer 830- Players stretch again, coaches talk 9-Noon- Coaches meet- watch our film, watch opponents film, begin game planning.

We meet at 2 pm and first have a staff devotion and then talk about the previous game including going over each position's performance and grades, special teams, nominating POTW, etc. After that, around an hour or sometimes more, we break up offense and defense and the OC usually has me and the other OL coach go and look at some specific things as far as defensive front and the run game go. We will have all already watched the film before meeting but this is a time to just go over things with a fine tooth comb and look for specific things the OC wanted to do. We will then eat dinner as a staff around 5:00 before finalizing the gameplan with the HC. We typically leave sometime around 7 - 7:30.

The last school I was at, we stopped meeting over the weekend. We got MORE done on our own. As head coach I set some deadlines when things needed to get done on Saturday and Sunday. Several of my assistants and myself actually had 20-30 min commutes if we came to meet. So we put that 40-60 minutes into prep. Communication was done via email, text, and FaceTime. Monday mornings my OL coach and I met and fleshed out and scheme changes on the white board. The DC and I did the same.

We do something similar, with the exception that our players come in at 9. We watch film for an hour in position groups and hand out grades, do a light/quick lift for 30 minutes, then outside for a 45 minute walk/jog thru and fix anything alignment/assignment mistakes that were made the night before. Been beneficial for us.

We come in Sunday at 1
Watch first half (maybe more/less) of Friday nights game together to make sure we're all on same page of what needs to be fixed.
Choose weekly MVPs
I pass out scouting report for next opponent. I show a couple of their top plays so coaches know what formation/play/etc I'm talking about. Go over any adjustments on the board (if needed).
Offensive wise we talk about front/coverage they run. We run UBSW so we never know what we're actually going to get. So this takes like 5 minutes.
We're there 2-3 hours

Gives the kids some ownership over the program I'm not going to watch the film before then, so having me in the room isn't going to help. Hall of Fame coach recommended it at a clinic I was at, thought it was a stupid idea too. We tried it once and it worked really well. Gives them a chance to laugh at the funny stuff, call each other out, little more relaxed atmosphere. The kids really liked it. Attendance was always higher. Next year after we tried this our new HC did the standard coach led film on Saturday mornings and it was a disaster. Hadn't watched film, was dead silent, kids started skipping regularly.

I generally agree, but the coaches that are remaining on staff at the new job really, really like bringing the kids in. In asking the kids, they like it too. In 7 years at the past job, I never brought kids in. I think in combination with watching the film Saturday we're just going to show top 5 O and D plays and worst 5 O and D plays on Monday before starting scouting films. Not bringing kids in on Saturdays made for some long Mondays.

been a few places with a few different ways
coaches trickle in between 12:00 and 1:00 and start watching a little film of the next opponent (all the stuff from that last game gets done on saturday) staff meeting at 1 start the meeting by going around the table and each coach talks about his position group, what's up with them, who is doing well, who is sucking, who seems distracted, who is having grade problems, etc. etc. then we have the middle school coaches who went scouting friday night pass out their report and give us their thoughts on the next opponent...this is mostly worthless because we have already seen film but whatever so then the HC gives his little talk about the week...freshman/JV issues, schedule things...what's going on in the school building, anything else he deems important we then break up into offensive and defensive meeting rooms and start talking
on the offensive side we had a gameplan sheet that everybody got, it had all of our base run/pass schemes on it, so after we watch a little film...really like an hour tops...we would go down the list "okay so how do we want to run power?" "well they spin to cov 3 with motion to you wanna motion and run away from the spin?" "sure" ...then we just do that with every major run scheme...then the passing game guru's decide what formations and motions they wanna run their passing game stuff out of....then we break and go home...about 65% of that time is spent telling stories and shooting the breeze
defensive side things are a little more intense, we start out of a basic assumption of where we want to put the 5 tech and how we want to play certain formations, then we look at the hit chart of all the plays they run and how they line up to see if it holds up...if it doesn't..we come up with a solution for the one thing that throws us off...then see if that adjustment hold up across the board.
typically everybody will be done between 6-8...depending on the week
the worst part is when everything does hold up and we are done pretty quickly, but we sit around and kill hours anyway because we saw motivation quotes on twitter about grinding therefore we shall grind
also the special teams dude breaks off on his own and comes in later with a bunch of cool stuff we can do on special teams that will take advantage of all kinds of stuff they do, but then somebody says that there ain't no way our kids can execute a whole new freaking kick return set up in one week and we just do what we always do and the special teams dude gets really frustrated...it's a sunday tradition!

Our school has done this the same way for 17 years. Friday night the OC and myself (RB Coach) breakdown the film and label/splice all the plays. (We have 3 views, PB, EZ, and drone) Saturday Morning 9:00 Stretch/Run 9:30 Full Team Meeting and Breakfast Next we split up in 2 groups and watch our full game 10:00 OL/TE Meeting in the Offensive Room with the OC and myself DB Meeting in the Defensive Room with the DC and defensive coaches. 12:00 QB/RB/WR Meeting in the Offensive Room DL/LB Meeting in the Defensive Room Done by 2:00pm Sunday Defensive Staff comes in around 10:00am and starts labeling and breaking down next opponents film. 1:00pm Full Coaches Meeting Talk practice schedule Done by 2:00pm

We arrived at the Fieldhouse between 7:30-8, depending on when we got in from the night before if it was a road game
Watch previous nights film till 9 Kids lift and run 9-10 Donuts and film 10-10:30
Coaches stayed till about 11, might come back on own throughout the day
Sunday meet at 2 and stay till it's done, I would arrive around 11, lift, lunch, and get most of my ducks in a row before the rest of the staff
Booster club would feed us about 6ish
School before that We met at 7-7:30, odk trade films, others cleaned and did laundry Began breakdown and meetings at 10, stay till 3, unless you could get it done at home, we didn't have hudl, we had Apex.
Sunday arrive about 9:30, make final copies of scouting report and game plan, finish burnin dvds for the kids
Players arrive at 2, lift and run, open concession they go through and make sandwiches and get chips and Gatorade Came in locker room pass out award stickers and watch opponents game film while eating peanuts and almonds.

Saturday morns I've grown to love. When I was an assistant then HC at the same school; my then boss (now close friend) did the Saturday morn thing. At first I hated the sound of it (being young and single), but then I grew to love it and IT'S THE ONLY WAY TO GO IMO if you're going to meet at all.
8:00amISH- all arive. House cleaning.Laundry, paint the practice field for next week, etc. We'd split up.
Whenever that was done until noon? Film/practice prep.
Come noon? Free for the weekend.
And, it was flexible...have kids and Little League stuff? Obviously go. Maybe somebody was going to a Noon Louisville or UK football game with their wife/kids? Go......just handle your stuff and be ready come Monday. Honor system like. It worked well. The only way to go IMO.

It did not turn out well in the case for our team. I was the defensive captain, and while I knew everyone's job I was not versed well enough at everyone's technique to tell them specifically where they were good or where they were not. A coach would know best, and should be the one coaching. The offensive side tended to be worse, most times a player was critiqued he would argue back about the offensive captain not doing better, so who was he to critique him. It led to a lot of fights. Of course, most guys would tell the coach they liked it/learned from it because they enjoyed it more than the HC yelling at them for 2 hours. While I like the general premise of players running films, and thinks it can have benefits (you do learn best those things you teach); from where I have been the negatives outweighed the positives.

I've been a part of staffs that met on Sunday, and Saturday's. The schools that I've coached at that met on Sunday's were schools that didn't have lights and we played on Saturday's. The first school was coaches only from 8am to 1230pm, watching our game film and getting a start on our opponent's film. Kid's came in at 4:30 to lift and we would do a 45 minute walk through. After the kids left, coaches would stay and watch more film, and usually leave around 8:30 or 9. We wasted a lot of time and could have gotten things done a lot quicker if not for that. The second Sunday meeting school was coaches only Sunday night at 6:30 for dinner, quick review of our film, then getting started on the upcoming opponent. The last two schools I've coached at, with the same head coach, we meet on Saturday's at 7:30 to watch our game. Kids come in at 9:00, see the trainer, light lift and run, watch the film, get briefed on our opponent, and they are out by 11:30 or 12:00. We usually stay until 12:30 to go over some stuff for our upcoming opponent, then we are done. In my role as director of scouting, I usually have at least one, sometimes two of our opponent's films already broken down for the coordinators so they have something to work with. Over the weekend I cut up whatever our opponent sends us so when we have our formal meeting Monday night, we're ready to go.

To me, whether you meet Saturday at 6:00 AM or Sunday at 6:00 PM or any time in between, the key is to streamline what you do and cut out all the time wasting BS that usually plagues these meetings. Have a firm start time, a worthwhile purpose to everything, and then get right to it. Don't talk too much about college games. Don't sit around telling war stories from 15 years ago. Get to work, do the work, stay on point, then cut out the lights, lock the door, and go home.
